A script should support listening

Choosing a school or course can involve questions about schedules, costs, teaching methods and future plans. Admissions teams need consistent information, but prospective students also need to feel understood. A useful script supports both goals.

Begin with context, then understand the goal

An opening can be simple: “Thanks for your interest in the program. What are you hoping to achieve through this course?” Follow with questions about timing, prior experience and practical constraints. Do not assume that every inquiry has the same motivation.

Confirm what you heard before describing the offer. “You’re looking for an evening option that fits around work—is that right?” This gives the person a chance to correct an assumption and helps the adviser explain relevant features instead of listing everything the institution provides.

Make the next step specific

After answering the person’s questions, offer an appropriate next step. For example: “Would you like the course outline, or would a conversation with an academic adviser be more helpful?” These are illustrative prompts, not tested performance claims.

If someone raises a concern, clarify it before responding. A question about price might be about payment timing, total cost or uncertainty about the course itself. Accurate information and a calm explanation are more useful than pressure. Avoid promises about employment or outcomes that the institution cannot substantiate.

Keep the system consistent and adaptable

Maintain a shared reference for course details, deadlines and requirements. Update it when an offer changes so that email, telephone and messaging conversations remain consistent. Make sure advisers know when to refer a question to someone with more expertise.

Review a sample of conversations for clarity, accuracy and whether the next step was appropriate. Track both progression through admissions and the quality of the prospective student’s experience. A script should evolve as the team learns. Its value lies in helping people make informed decisions while giving staff a dependable framework.
